DC Job Alert: Administrative Coordinator for Policy with AASHTO

The American Association of State Highway and Transportation Officials (AASHTO), www.transportation.org, is currently hiring an Administrative Coordinator for Policy, a position located in Washington, DC.

Nature of Position:

Under supervision of the Policy Director, the Administrative Coordinator for Policy provides administrative support for the Policy Director and other Policy team personnel as assigned.

The incumbent is responsible for the efficient and timely execution of a large volume of tasks related to AASHTO’s policy committee business and general Policy team operations, establishing priorities among many tasks in order to complete time-sensitive assignments. The incumbent provides an array of administrative support for Policy personnel which may include: 

  • General administrative duties as assigned, such as: tracking of information, general correspondence, developing meeting agendas, receiving calls and visitors, drafting brief informational memos and PowerPoint presentations, preparing documents for printing and distribution, and preparing other documents as necessary to respond to the press and other public inquiries;
  • Maintaining AASHTO member database by creating distribution lists and ensuring that member lists and contact information are current and accurate;
  • Coordinating committee efforts such as: creating and distributing information surveys, preparing and managing the balloting process, and arranging appointments, conference calls, and webinars, and;
  • Supporting travel logistics, such as: coordinating non-staff travel arrangements, working with AASHTO’s Accounting group to process related receivables and payables, assisting with member expense claims, and other related financial transactions as assigned.

On an as-needed basis, the incumbent may be responsible for providing logistical support for the Division’s meetings and conferences, and supporting the Association’s larger meetings as undertaken by the Division of Member and Meeting Services. In performing meeting-related tasks, the incumbent may travel to meetings, handle meeting registration and logistics, and provide meeting participants with on-site assistance.

Position Requirements:

A minimum of one year of related administrative experience is required, preferably in an association or membership organization environment.

The successful candidate must have well-developed skills in essential business computer applications and be adept at word processing, database management, PowerPoint development, and basic webpage maintenance. Excellent written and oral communication skills, and the ability to effectively organize activities, prioritize, and multi-task is required. The incumbent must be able to exercise sound judgment and pay close attention to detail. The incumbent must be able to interact professionally with senior state transportation agency staff and other government and business executives.

A Bachelor of Arts or Science degree is required.
